Use three separate references

Our version map records the prepared source, the issued request and the retained output. Each answers a different question: what was intended, what was transmitted and what came back. The map is an editorial record-keeping aid, not a Signaturely feature or a substitute for its audit trail. A small team can maintain it in its approved system without creating a new database or publishing private document information.

Record changes as relationships

When a correction is authorized, relate the new source or request to the previous one instead of giving both an indistinguishable final filename. Explain the reason for the revision briefly. Do not imply that an earlier signature applies to changed wording. The reviewed management documentation makes edit-and-resend consequences important, so retaining the prior state is more useful than presenting a simplified history that hides how the document changed.

Avoid over-collecting content

The map usually needs identifiers, a version label, an owner and the relevant state—not a second copy of every confidential paragraph. Store detailed documents in their appropriate repository. Limit access to the map when its references themselves reveal sensitive relationships. Do not use public analytics or a website form to track real requests. The aim is traceability for authorized colleagues, not a comprehensive shadow archive with unclear retention rules.

Test whether another person can follow it

Use a harmless sample to ask whether someone can locate the source and the matching completed record without guessing. If they cannot, improve the labels or missing relationship rather than adding more status fields. Record unresolved links honestly. This does not prove legal sufficiency or restoration.
