Write the smallest useful brief
Begin with the document you send repeatedly, not a feature wishlist. Record who prepares it, how many people send independently, who must sign and what evidence the recipient should receive afterward. Use roles rather than real personal details in an initial planning sheet. This keeps the comparison concrete without spreading confidential agreement content into demonstrations, support messages or public tools. A representative example is more useful than an imaginary enterprise workflow.
Separate requirements from preferences
A requirement prevents the work from proceeding if absent; a preference makes a supported workflow more pleasant. Keep these categories separate. Required-party assignment, suitable records and appropriate access may be mandatory. A preferred color or a familiar layout may not be. Do not promote an advertised feature into a requirement merely because it appears in a premium plan. Conversely, do not downgrade a genuine control because the cheaper option lacks it.
Count the operating units
List expected requests, peak periods, sender seats and reusable document patterns. Include who will cover absences and where the authoritative source file lives. Avoid assuming that signers, senders, documents and envelopes are interchangeable billing units. A small differences column should explain terminology that needs vendor confirmation. Unknowns are useful here: a blank answer is a reason to verify, not permission to fill in a favorable assumption.
Turn the brief into acceptance questions
For each requirement, describe what you would observe in a harmless, authorized sample. The intended person receives the correct document; fields belong to the right role; the output can be opened and related to its request. These checks do not establish legal validity or prove reliability at scale. They do prevent buying on a brochure alone. Take the resulting brief into the pricing and preflight guides before committing to a plan.
