Practical guide

Hand over a completed document without losing the next responsibility

Last materially reviewed 2026-09-21

Quick answerCompletion is a handoff to a named owner, not the end of every related task.
What to know

Define what the recipient of the handoff needs

The colleague receiving a completed record may need the document, its reference and a specific next action. They usually do not need every preparation email. Decide the minimal useful package and the approved location for it. This guide concerns the signing-record boundary; it is not another general client-delivery or CRM process. Keep the signed agreement traceable while leaving broader project and relationship work in its existing system.

What to know

Check the required-party result

Before describing the document as complete for business use, compare it with the intended participant set and any known exceptions. A software status alone is insufficient, particularly for the documented multi-party decline case. If something remains unresolved, say exactly what and who must decide the next step. Do not pass an ambiguous record downstream as if the receiving colleague can safely infer the missing context.

What to know

Assign ownership rather than broadcasting

A broad notification can leave everyone aware and nobody responsible. Identify the person or role that owns the next action and provide the relevant reference through the appropriate channel. Avoid spreading confidential files to a larger group merely to ensure visibility. If ownership changes during absence, keep the transfer explicit so two colleagues do not independently act on the same agreement or send conflicting follow-up messages.

What to know

Verify a usable handoff

For a harmless sample, confirm that the responsible person can locate the intended output and understand what remains to be done. A sent message does not prove this, and a downloaded file does not prove that the operational step occurred. Keep the result proportionate: a short acceptance note may be enough. The folder and partial-completion guides resolve the most common ambiguity before the record leaves the sender’s immediate workflow.
