Configure people and fields together

Check each recipient against the role and the fields assigned to that role. A correct email address does not compensate for a field given to the wrong participant. Likewise, a correct layout does not establish that the recipient is authorized to sign. Keep viewer-only recipients separate and verify the intended sequence. Resolve unclear responsibilities before sending rather than expecting the recipient to explain a configuration they did not create.

Explain what the document concerns, which action is requested and whom to contact with a problem. Avoid putting unnecessary confidential detail into the email subject or notification text. If a deadline exists, use the actual agreed deadline, not artificial urgency. A recipient should understand the request without feeling pressured to sign something unfamiliar. A short, accurate explanation is more useful than a generic message claiming the process is effortless.

Retain the original request record

After sending, keep the request identifier and its relation to the source version. Record what the interface actually confirms. Do not equate an acknowledgement with delivery or a signature, and do not repeat the action merely because the recipient has not responded yet.
